What you need to know about Atlassian app Jira Cloud for Sheets

You need to integrate Google Sheets with Jira. Atlassian free Jira app might be enough for your needs, but before you decide be aware of its limitations.

In 2022 Atlassian put it’s app Jira Cloud for Sheets in maintenance mode. Improvements were discontinued (full details). As a result users have been reporting system reliability problems ranging from lost connectivity and 503 errors to duplication and missing data.

If you are looking for a more robust Google Sheets integration for Jira then considering a free trial of app Google Sheets Integration. The key difference is reliability. Also:

  • exports directly out of Jira via API calls

  • exports can be one-time, scheduled or real-time

  • export richer data for reports (Assets, Changelogs, Projects, Sprints, Users, etc.)

  • all directly controlled within Jira

Installation and access issues

Problem: Users are unable to access or find the Jira Cloud for Sheets app after installation.

Solution: Ensure that the add-on is properly installed and that you are logged into the correct Google account. If multiple Google accounts are active, log out of all accounts and log in only with the account that installed the add-on. Additionally, verify that your G Suite admin has enabled access to Google Sheets add-ons for all users.

Authentication errors

Problem: Errors such as ‘no Jira auth’ or HTTP 403 appear when attempting to import issues.

Solution: Try disconnecting and reconnecting your Jira Cloud site through the add-on. If the issue persists, uninstall and reinstall the add-on to establish a new connection. Ensure that your Atlassian account has the necessary permissions to access the Jira data.

Data import limitations

Problem: The add-on fails or returns errors when importing a large number of issues.

Solution: The add-on supports queries of up to 10,000 issues. For larger datasets, use the =JIRA() custom function to paginate through results. For example, to return 20,000 issues, use the following formulas in separate cells:

=JIRA(“project = ProjA order by updated desc”, “”, 0, 10000)

=JIRA(“project = ProjA order by updated desc”, “”, 10000, 10000)

This approach helps manage large data imports effectively.

Empty cells for user data

Problem: Imported data shows empty cells for user-related fields like ‘assignee’ or ‘reporter’.

Solution: The add-on respects individual users’ privacy settings. If a user has made their profile information private, the add-on will return a blank value for that user in certain columns. This behavior is by design to comply with privacy preferences.

General errors during data import

Problem: Generic errors occur when importing issues, displaying messages like “Hmmm … looks like we stumbled a bit, please try again.”

Solution: This error may be due to attempting to import a large number of rows. Retry the import with a reduced number of rows (e.g., 1,000 to 2,000 rows in batches). If the problem persists, disconnect and reconnect your Jira Cloud site through the add-on, or consider reinstalling the add-on.
